Create flexible meeting rooms with huddle room technology that enhances collaboration

The office of the future is fast becoming the office of today. That’s the signal sent by architecture and design firm Gensler in redesigning its office to meet the changing business landscape and employee expectations. This included installing a variety of flexible meeting rooms, such as huddle rooms — a trending feature of offices everywhere. In an increasingly hybrid work world, employees want spaces that support and embrace this modern work arrangement.

That’s also reflected in the Occupier Services Workplace Realities in 2024 report by real estate professional services company Colliers. “No longer confined by physical space, a significant realization has emerged,” noted the report. “Workplace initiatives can no longer be focused merely on square footage but rather on curating an unparalleled, tailored work experience focused on tactics geared toward building employee engagement and trust.”

Huddle rooms offer a great example of this new thinking, but just the room is insufficient. They require the right conference room technology to support the teamwork that happens inside. Here’s how.

What is a huddle room?

Unlike formal, static meeting rooms, huddle rooms are intended for quicker, impromptu employee gatherings such as brainstorming, tackling challenges together, quick Zoom calls with team members working remotely and more. Because of their informal nature, huddle rooms can be set up in enclosed or open spaces of all shapes and sizes. Employees like these spaces because they fit well with hybrid and remote work. They are more efficient and productive, focusing on a single issue or problem. Combined, these spaces allow for better office collaboration while boosting employee satisfaction.

The important thing is that they feature technology that fosters collaboration and teamwork, including brainstorming, presenting and videoconferencing. That’s why digital signage solutions, such as Samsung QMC Series 65-inch, are a great choice, as they support and enable all of these. Not only does the dynamic crystal color make every presentation, image, video and graphic look its best, but the Smart View feature enables wireless screen sharing from multiple devices. Furthermore, this type of ultra-thin digital signage can be mounted easily in any location, thanks to its non-glare panels that give everyone in the room the same view, no matter if they’re sitting on the floor or in a beanbag chair.

Small and large spaces

The flexibility of huddle rooms makes them effective at any size. It also makes it easier to create them inside existing office space, perhaps repurposing an office, break room or storage area. This versatility can continue, too — with comfortable, modular seating and technology like digital signs and interactive displays. If you’re repurposing a larger space, such as a conference room or open bullpen-type area, a larger display (or multiple large displays), such as the Samsung QMC Series 98-inch, can give everyone the same abilities as the smaller offerings but in a bigger form factor.

If you prefer to scale up your business meetings with an even larger, supersized display, consider the Samsung QPD 105-inch. Designed for the modern meeting room and hybrid work environments, its expansive, ultra-wide screen eliminates the need for multiple displays, offering a seamless, collaborative experience for in-person and remote employees. Whether you’re conducting a large video conference, sharing detailed presentations or brainstorming ideas, the large display ensures that every attendee can engage.

Outward-facing ports also enable flush wall mounting, and with Smart View, employees can experience increased collaboration by sharing up to 10 screens simultaneously. It also integrates with virtual meeting technology like Microsoft Teams, improving meeting room technology by facilitating seamless collaboration, effortless content sharing and real-time communication for a more efficient meeting experience. Start sharing right at the beginning of a meeting and switch between screens with a single click.

Training support

Another great way to repurpose a traditional meeting space is as a training and learning space. That’s especially important, considering how regular employee training is essential for business success. Using an existing conference room for cybersecurity, software, products, DEI training and more helps save money, increase efficiency, enhance security and strengthen teamwork skills among staff.

Again, technology can influence success, for example, in the quality of the presentation, clarity of instruction, inclusion of more voices and access by remote workers. This becomes even more important for hybrid training events, where you will need to install monitors and signage to display training materials and enable interaction.

Samsung QMT-B Series 98-inch — coupled with the Samsung WAF Interactive Display and 65-inch WMB Series 4K UHD Interactive Pro — can make training sessions a snap thanks to their versatility and functionality. Using the QMT-B, you can display high-resolution content so everyone in the room can see what is on the screen. The non-glare feature is especially useful for printed content due to the Samsung Crystal Processor 4K, which allows the screen to display lower-resolution content at UHD-level quality. Samsung’s interactive displays increase connections with trainees, as they can answer questions, take quizzes and interact with content using a stylus or their finger. With the WAF, trainers and trainees can even utilize AI features including Circle to Search with Google to quickly search text and images on screen and voice transcription, which can be activated by an on-screen button to record trainings.

Divided spaces

One great way larger conference rooms can get a technology makeover is by subdividing them into smaller, more intimate spaces. Technology can help, too. You can turn one big conference room into two smaller spaces by tapping the QMT-B Series 98-inch digital signage display for one half of the room and a QMC 65-inch display for the other. The area with the larger QMT-B Series 98-inch digital signage can be used for traditional training videos and discussions, while the 65-inch display creates a space for true interaction, brainstorming and huddling.

Bringing the business together

Success in any sphere requires effective collaboration. As such, anything that supports clear communication, regular engagement and diverse inputs becomes beneficial. Incorporating huddle rooms and other flexible workspaces is a good step toward that goal, but it takes the right technology to cross the finish line. With Samsung technology, individual employees can forge strong teams that truly make a difference.
