Create flexible meeting spaces with huddle room technology that enhances collaboration

The office of today needs a new formula for successful collaboration. That’s the signal sent by architecture and design firm Gensler in redesigning offices to meet the changing business landscape and employee expectations. This includes creating a range of spaces to support collaboration and focus.

Huddle rooms, which are a trending feature of offices everywhere, offer a prime example of the new formula. As small, multifunctional spaces, they allow team members on and off-site to meet as needed and quickly. However, the space alone is not enough. For huddle rooms to work well, they require robust conference room technology. These collaboration tools not only help ensure everyone is on the same page at the same time, but they also foster the teamwork that can make huddle rooms so impactful. Here’s how.

What is a huddle room?

Unlike formal, static meeting rooms, huddle rooms are intended for quicker, impromptu sessions of brainstorming, tackling challenges and checking in with team members off-site through videoconferencing. Employees favor these spaces because they fit well with hybrid and remote work and generally allow more flexibility in time and type of meeting. The agenda can also focus on a single issue or problem, rather than a long list of ones to get through, as in a monthly meeting.

Because of their informal nature, huddle rooms come in all shapes and sizes. The important thing is that they are equipped with technology that fosters collaboration and teamwork. This not only helps bring all voices to the table, no matter their location, but also facilitates the free flow of information. These tools are able to capture the results of the collaboration, too, and transform them into action points.

Samsung display solutions ideal for huddle rooms

Much like the team members in huddle rooms, Samsung solutions work together to achieve the desired effect: collaboration that makes the sum exceed the parts.

WAFX-P Interactive Display

One distinct advantage of Samsung technology is that each new iteration brings new tools to the table. Samsung WAFX-P is a case in point. The latest Pro model in the WAF Series, the interactive display brings the power of AI to huddle spaces. For example, the Live Transcript feature is able to capture the words spoken by meeting members, transcribe it into text in real time and then create a summary, complete with time stamps and keywords. With Circle Text and Search, users can circle any image or text to immediately launch a search for supporting material, allowing them to better drive a message or illustrate a point. AI goes into the built-in 48MP camera, too, employing auto-framing and speaker tracking to improve face-to-face interaction in video conferencing.

Other apps that support collaboration are bidirectional screen sharing of up to nine devices and a basic whiteboard application with 20 touchpoints for writing.

WEFX OS-Free Interactive Display

WEFX OS-Free is the latest interactive display designed for teams that want the simplicity and immediacy of a large-format interactive screen without the overhead of a built-in operating system. Built for fast-moving, often impromptu huddle sessions, WEFX focuses on reliability, ease of use and seamless connection to external devices. Operating without an onboard OS, WEFX functions as a 65-, 75- or 86-inch interactive monitor when connected via USB-C, HDMI or OPS, making it a natural fit for organizations that prefer to run collaboration tools from laptops or dedicated devices. This streamlined architecture can also reduce any OS-related maintenance concerns such as software conflicts and supports environments where cybersecurity and uptime are key considerations.

At the same time, WEFX retains core interactive capabilities found across Samsung displays. The Annotation On feature allows users to write directly on the screen with up to 40 simultaneous touchpoints, enabling teams to mark up content, sketch ideas and collaborate in real time. The result is an interactive experience that supports quick alignment and clear communication without adding complexity to the room.

QMC Series

When visuals are of prime importance to a collaboration session, a QMC Series 65” Commercial Display offers a vibrant platform to deliver them. The display provides dynamic crystal color that can render more than one billion shades. This makes every image, video and graphic stand out. Intelligent UHD upscaling technology, powered by a quantum processor, can even transform lower-resolution video to UHD, providing a professional picture quality. Nonglare panels help ensure whatever’s on the display is visible from all angles and at any time of day, too, so everyone in the space gets the message.

These ultra-thin displays come in eight sizes between 32 and 98 inches, meaning they can be mounted easily in almost any space, regardless of size and shape. This enables offices to utilize more areas for collaboration.

QPDX-5K Series 105″

If huddle spaces need to be scaled up to full meeting rooms, even temporarily, a supersized display like Samsung QPDX-5K Series 105″ can provide an interface for all to connect through. Designed for the modern meeting room and hybrid work environments, the expansive, ultra-wide screen eliminates the need for multiple displays, offering a seamless, collaborative experience for in-person and remote employees. Whether you’re conducting a large video conference, sharing detailed presentations or brainstorming ideas, the QPDX-5K helps every attendee engage. With SmartView, employees can increase collaboration by sharing up to 10 screens, simultaneously. And virtual meeting technology like Microsoft Teams facilitates seamless collaboration even further.

Flexible technology

With huddle spaces, one size does not fit all. Indeed, because huddle spaces tend to be retrofit into existing and sometimes nonstandard rooms, flexibility is important. That goes for the technology, too, as the screen size and capabilities need to fit the space available, whether it’s a large conference room subdivided into smaller huddle spaces or a repurposed closet or annex.

Fortunately, Samsung supports that flexibility, starting with the range of display sizes available, between 32 and 115 inches. Ultra-thin panels mean they’ll take up less space in the room, opening more for collaboration. The high-quality cameras and microphones inside interactive displays also save the space taken up by external units. High resolution, up to 8K, means whatever is on display is clear and sharp to every viewer, at nearly every distance and angle.

Bringing the business together

Success in any sphere requires effective collaboration. As such, anything that supports clear communication, easy access and regular engagement becomes beneficial. Incorporating huddle rooms and other flexible workspaces is a good step toward that goal, but it takes the right technology to cross the finish line. With Samsung displays, individual employees can forge strong teams that truly make a difference.
